The best thing you can do is shop around, and even ask for demonstrations if at all possible. Look at the software in terms of how long it would take to get a new employee up to speed. That is no disrespect to your staff whatsoever, but the simpler it is, the better all around it will be. But look for core functionalities such as the ability to import new documents with relative ease, export them, edit them and share them via email if possible. This is the very foundation of a top quality digital document management software.
Finally, take a look at the cloud based solutions. Many of these products offer a lower cost of entry, lower price to maintain and operate and can be more advantageous for the long run. Everything from built in catastrophe protection to anytime, anywhere access with nothing but a web browser to operate. Some of the document management software systems today even have virtual office tools so that you can do everything that you can do from your desktop right from a browser.
It's important that the more advanced system you'll be using will be as workable as possible and, ironically, as easy to use as can be. Before making this large, but worthwhile, investment, make sure you've ticked all the boxes
